Our Customer

Hertfordshire Mind Network work across Hertfordshire to support positive mental health and wellbeing.

They provide a diverse range of services from their eight Wellbeing Centres and other venues across all ten districts in the county.

Funded locally, their services are available to all residents in Hertfordshire aged 18+ and they offer dedicated services for 5-18 year olds.

Their aim is to make sure that no-one has to face a mental health problem alone.

Their Challenges

Before partnering with Valto, Herts Mind Network faced significant challenges with their IT infrastructure and processes.

They relied heavily on on-site servers, which required remote connections to access their databases. These servers frequently encountered issues, causing delays and inefficiencies in accessing critical documents.

Additionally, their incident reporting process was cumbersome and time-consuming. Staff had to print incident documents, fill them out manually, scan them, and then log the information into an Excel spreadsheet.

This lengthy procedure not only wasted valuable time but also led to frustration among staff, prompting Herts Mind Network to seek a more efficient and reliable solution.

Our Solution

When Herts Mind Network decided it was time to improve their systems and processes, they requested tender documents from several companies. Ultimately, they chose Valto because we didn’t try to baffle them with tech jargon. Instead, they said our team was knowledgeable, professional, and presented a very well-prepared solution.

Herts Mind Network entrusted Valto with their IT support, and within six months, we had helped revolutionise their operations. We successfully helped to decommission all of their on-site servers and migrated their systems to the cloud, providing seamless and uninterrupted access to their databases from any location.

To address their incident reporting issues, we developed a customised Power App. Collaborating closely with Herts Mind Network, we designed an intuitive and user-friendly interface that streamlined their incident process, making it entirely paperless. This eliminated the need for printed forms and significantly reduced the time required for incident reporting.

Our three-stage incident reporting app was integrated with their SharePoint database, ensuring efficient data management. Additionally, we implemented custom permissions within the app to ensure that only authorised staff members could access sensitive data.

Results, Return on Investment and Future Plans

By transitioning to a paperless system, Herts Mind Network has significantly reduced its environmental footprint.
The move to the cloud has enabled staff to access databases and resources from any device, anywhere, ensuring seamless remote work capabilities.

Additionally, the new incident reporting process is now instantaneous. As soon as a form is completed, it is securely stored and easily accessible, streamlining the workflow and enhancing the safety and integrity of the data.
All data is now stored in one centralised location, making it easy to access and manage. Furthermore, with custom permissions and secure cloud storage, sensitive data is better protected, ensuring that only authorised staff members have access.

The return on investment has been evident in the improved efficiency, reduced environmental impact, and enhanced data security.

Looking ahead, Herts Mind Network plans to continue leveraging Valto’s expertise to further optimise their processes and explore new technological advancements to stay ahead in their field.
