The Players Foundation is a registered charity working to support professional footballers, both current and former, who find themselves in charitable need.

The Players Foundation beneficiaries are predominantly current and former professional footballers from within the Premier League and Football League in England and Wales.

Their work provides crucial support to beneficiaries during severe hardships and to those living with neurodegenerative diseases. They also offer assistance with debt management, benefits, and welfare advice.

Their Challenges

The Players Association operates remotely, making it essential for their databases and processes to be fully digital.

Although founded in 2013, they did not have their own dedicated administration team until 2022. Previously, their administration was outsourced.

When this arrangement ended, The Players Foundation had to establish their own administration team, necessitating expert assistance to ensure a smooth transition.

Their previous reliance on Excel documents for managing operations highlighted the need for a more efficient system. However, they were not yet ready to implement a full-scale CRM solution.

This gap underscored the importance of finding an interim solution that would streamline their processes and support their newly formed administration team.

Our Solution

The Players Foundation recognised the need for an interim solution but lacked knowledge of the available technologies and products.

After attending some of Valto’s in-person events, they discovered the capabilities of SharePoint and subsequently approached us with their challenges.

Valto proposed implementing a SharePoint beneficiary system that integrates seamlessly with Xero. From the outset, we collaborated closely with The Players Foundation to ensure their requirements were met. We held regular meetings to provide updates and involve them in the project process.

Our team migrated their existing data from Excel documents into their new SharePoint system. Additionally, we configured the system to automatically integrate with their banking system, enabling streamlined payments and minimising manual data input and errors.

Results, Return on Investment and Future Plans

The implementation of the SharePoint beneficiary solution for The Players Foundation has had significant results across various aspects of its operations.

Firstly, there has been a marked improvement in reporting capabilities, facilitated by streamlined data input processes and reduced duplication. This improvement has led to more accurate and comprehensive reports, crucial for informed decision-making.

Additionally, the solution has substantially reduced manual data input tasks and minimised errors, ensuring data integrity and reliability.

The introduction of a 360 feedback solution has enabled the organisation to aid in continuous improvement efforts.

In terms of return on investment, the solution has resulted in cost savings by reducing staff resource requirements and improving operational efficiency.

As their organisation continues to grow, these benefits are expected to amplify, contributing to further cost reductions.

Looking ahead, with the continued growth of The Players Foundation, they may consider transitioning to a full CRM system with Valto’s help.
