Automatically share your Power BI reports

Power BI is an incredible tool for data analysis and visualisation. The interactive reports let you focus on the key takeaways from your data, whilst being able to click into the charts and graphs to view more detailed data you require. Although there are some excellent benefits to viewing Power BI reports in Power BI, sometimes you will need the option to share those reports with others that may not have a Power BI licence or to print them off to put into other documents or presentations.

You can export your reports and dashboards from Power BI service into PDF or your chosen export format, so that you can easily share your data with whoever you need to and set these reports to go out automatically to users of your choice. You also have the option to set up a workflow in Power Automate to automatically export your reports to PDF and either save them in a chosen location or email them to chosen users.

What is Power BI?

Power BI is a powerful data analytics tool that allows you to extract data from different data sources and pull it all into one place to create visual dashboards and reports on the key areas you would like to focus on. With the interactive reporting style that Power BI reports offer, you can create engaging and informative reports to share with your colleagues.

Power Bi reports can be integrated into other Microsoft applications like Teams channels or Sharepoint pages, allowing users to always have access to up to date data. Depending on which Power BI licence you have will depend on how many times your data is refreshed a day, or you have the option to create your own schedule for your data to update.

Power BI Exports through Power BI Service

Power BI Desktop is the application used to connect different data sources and transform the data into different models to suit your objective. Power BI service is a cloud-based application that allows users to view and edit the reports that Power BI Desktop creates. It also allows users to save reports in different workspaces where users can work collaboratively on reports and dashboards. In Power BI service you can create schedules which will automatically pull real-time data into dashboards and reports, and you can also schedule for those reports to be exported and emailed to whomever you would like to view them.

There are some limitations to exporting your PDFs using this method currently. You cannot currently filter specific pages of your report so you will need to export the full report each time you want to create a PDF, there are also some limitations to whom you can send the export to. Certain organisational policies may prohibit you from sending your exports to people outside of your organisation, although this can sometimes be rectified in the Power BI Admin centre.

In Power BI service you can choose whether you would like the report exported as a whole, or if you would like to export the report after you have added your own filters and slices to the data to make the information more personal to you. You also have the option to select only the current page to export if you do not need the whole of the report in a PDF. The export may take a few minutes to complete, once it is done you can save the PDF file and share it as you wish.

Automating your PDF Exports through Power automate

Another option you have when wanting to export PDFs from Power BI is to use Power Automate.

Power Automate is a tool from Microsoft which allows users to create automatic workflows. It can create automated processes between different applications, synchronise certain files, provide automatic notifications and automatically collect data from certain sources.

The software works by using triggers which in turn create chain reactions, meaning time-consuming, repetitive tasks can be automated without any user input.
