What is PowerApps?

Microsoft PowerApps allows users to create custom business applications. It’s a low/no code service that uses multiple data sources, connectors and links your apps and Power Automate (previously Microsoft Flow). Using the intuitive PowerApps Studio to customise your canvas app, there is an unlimited number of options available to make the perfect program for your business.

Define your business process and use Microsoft Flow (Power Automate) and other data sources to migrate all your information to one easy to use app. Your app will be available offline and will work across mobile operating systems and web browsers.

PowerApps syncs data with other programs from the Office365 and Dynamics 365 suites, as well as third-party applications. Using custom connectors all your data sources are combined seamlessly, whether you design a HR or people app, or something to help with data handling and eCommerce.

With PowerApps, you don’t need to be an experienced developer. With easy drag and drop tools and intuitive AI built in, PowerApps gives you the ability to make custom apps.

PowerApps pricing

From October 1, 2021 the PowerApps licensing pricing will change.

PowerApps Per User Plan: The current pricing for the PowerApps Per User Plan is $40 (£30.20) per user/month. From 1st October 2021, the new pricing will be $20 (which is currently around £15.10) per user/month. This license provides access to unlimited model-driven, canvas apps or PowerApps Portals, and plan entitlements remain unchanged – That’s a £15.10 saving. *Official UK pricing is yet to be announced

PowerApps Per App Plan: The current pricing for the PowerApps Per App Plan is $10 (£7.50) per user/app/month. From 1st October 2021, the new pricing will be $5 (which is currently around £3.75) per user/app/month – That’s a £3.75 saving. *Official UK pricing is yet to be announced

The current Per App plan provides access to two apps and one portal app. Microsoft will be simplifying the entitlements in line with the pricing change, so users will have the ability to run one app or access one portal (an embedded canvas app in a model-driven app doesn’t count towards this) from October 1, 2021.

When it comes to your business, it’s important to make sure every spend is right for you and your budget. In the case of app building, you might need to license for an unlimited number of users, buy a specific number of app licences, or pay per app or per user. PowerApps is included in Office365 licences.

One licence per user for any amount of apps

Per app licence

With this plan, currently priced at £7.50 per month, you can build two custom apps and use one PowerApps portal. Your apps can be canvas or model-driven.

This plan comes with a database capacity of 250 MB and 400 MB file capacity on the Common Data Service.

You will be able to:

Use custom and pre-built data connectors
Connect to your data with on-premises connectors
Create custom entities to store your data
Manage workflows with Power Automate (previously Microsoft Flow)
Use premium connectors and access real-time workflows

Per user licence

Currently priced at £30.20 per month, this plan is the best option for businesses who need one licence for each user, no matter how many apps need to run. This plan comes with the ability to run an unlimited number of custom apps and portals.

This plan comes with a database capacity of 250 MB and 2 GB file capacity on the PowerApps Common Data Service.

You will be able to:

Connect to your data sources with PowerApps pre-built and custom connectors
Create and manage custom data entities
Use customised on-premises gateway
Use Power Automate premium connectors to execute workflows
Access synchronised, real-time workflow processes

PowerApps portals allow you to make your apps available to more than just internal users. Choose to make your app public either with logins or page views.

Use PowerApps portals to use Common Data service data in your app. You can share your data with anyone – both external and internal users – with portals. You set the authentication requirements and completely tailor the data to your needs.

This technology allows any user to run themes that easily match the look of your business’ branding. Combine the tools of Power BI, Power Automate and Common Data Service to add model-driven data to your portal.

Power Automate or Flow plans

Now called Power Automate, Microsoft Flow seamlessly connects cloud-based apps. The tool is great for improving efficiency and making tasks that used to be developer-only easy for every user.

As with PowerApps, there are a few different options when it comes to Flow plans.

Is the PowerApps pricing changing?

Yes, from October 1, 2021 the PowerApps licensing pricing will change.

Why is Microsoft changing the PowerApps pricing?

The existing PowerApps licensing model was complicated according to customer feedback. Currently users have access to 3 apps rather than 1 as the name ‘per app’ would suggest.

What are the new PowerApps prices for the UK?

Microsoft have not yet released these prices, we have estimated the cost to UK customers based on the US pricing models.

Is the new PowerApps pricing cheaper than before?

Yes, it appears from the US pricing models there’s roughly a 50% saving vs the previous prices however Microsoft still haven’t updated the UK pricing models so we don’t know for sure.

Is Microsoft PowerApps free?

You can use the PowerApps Community Plan for free. This plan is a free platform to learn more about PowerApps and Power Automate. Learn more about flow runs and custom connectors. Anyone with Office 365 licences for work can sign up to the PowerApps Community Plan.

Is PowerApps included in Office365?

PowerApps is included in a variety of Office365 licences. Plans which feature PowerApps access include Business Essential, Business Premium, the F1 Plan and E1-E5 Enterprise Office 365 licences.

Is PowerApps only for mobile?

No. PowerApps apps will work on mobile and in web browsers. You don’t need to spend money or time creating multiple versions of the app – use PowerApps Studio online to create one optimised version that works across platforms.

How can PowerApps save my business money?

Using PowerApps means you can develop more apps in less time. You also cut down on expensive development and specialist software costs, from early development to long-term maintenance. Forrester Research have reported that on average developing apps costs 74% less with PowerApps

My business already has an app, why do I need PowerApps?

With PowerApps, maintaining and improving apps is easy. You can use PowerApps to enhance existing apps or build new custom ones. Using PowerApps along with Power Automate licensing means you can easily use flow runs and data integration to make your app as efficient as possible.

What can I do with PowerApps?

With PowerApps, you can create canvas (customisable) or canvas apps (based on a template). Your app will work offline, in web browsers and across mobile operating systems. You can sync your apps and Power Automate to easily create flow runs. Link PowerApps with platforms like Power BI for data reporting, Outlook for people records and SharePoint for lists.
