How Microsoft 365 Licences work

Microsoft licences have evolved over the years to match their ever-evolving technology and new and updated apps and services.

The cost of the licences will depend on how you are using Microsoft 365. There are both home and business licences available with Microsoft 365. The home version is controlled by a single user whilst business licences are controlled in the Microsoft 365 administration portal by either an inhouse IT team or an IT partner like Valto.

When you sign up for a business subscription, you can choose the number of licences you will need depending on the number of users you have. You can add more licences to your subscription at any time and you can reassign a user licence to a different or new user if needed.

You are also able to assign users different licences, so if you have a team of users that have varying different roles, or that will use different applications, you are able to tailor the licence use for each role within your organisation.

If you need to reduce the number of your licences you are able to do so, which ensures you are not paying out for licences which are not in use.

How to pay for a Microsoft licence

There are a few different options when purchasing your Microsoft 365 licences. You can purchase through a Microsoft partner like Valto. Use your licence on multiple devices

A Microsoft 365 licence allows the user to install their Microsoft applications onto up to 5 different devices. This means you can be logged into a PC, Laptop, phone and another 2x devices with the same user licence. This can be a really helpful option when you have a PC at work and a laptop at home for example, you will still have exactly the same access across both devices.

Microsoft 365 licence pricing

Microsoft 365 business Basic is just that, it provides online access to Microsoft office apps including Word, Excel, Outlook and teams access, 1tb of one drive storage and standard security. The cost of a Business Basic licence is £4.50 per user, per month on an annual subscription.

Microsoft 365 Apps for Business includes the same as Business Basic, but with desktop versions of the office applications. The cost of an Apps for Business licence is £7.90 per user per month, with an annual subscription.

Microsoft 365 Business Standard provides everything included with the first two options, with more autonomy with reporting tools, webinars and customer appointments. A Business Standard licence is £9.40 per month.

Microsoft 365 Business Premium provides you with all the desktop Office applications, OneDrive storage and reporting tools you will get with Business standard, but you will also have access to Intune Microsoft mobile device management system, Advanced threat protection and Azure. With a Business Premium licence, you will also have access to Microsoft Defender for Business. A Premium licence is priced at £16.60 per user per month.

Can I have different licences with one subscription?

Yes, you can opt to use different licences for different users. For example, if you have different teams in your business, office workers and shop floor workers, You can choose to provide the office workers with a full Business Premium licence whereas the shop floor workers may only have the Business Basic if they do not tend to use Office applications as much.

Can I upgrade my licences from Business Standard to Business Premium?

If you opt for Business Standard licence but then feel you would like to upgrade, you can do so at any time. Simply let our team know and they can make the changes for you in your Microsoft administration portal.
