Modern Workplace

Microsoft Viva

Reach everyone in your organisation, including the people who don't sit at a desk. Valto designs and delivers employee experience on Microsoft Viva: internal communications people actually read, learning in the flow of work, and an intranet that reaches frontline and mobile staff on the device they already carry. Our Modern Workplace specialists handle strategy, deployment and the adoption work that decides whether any of it gets used.

Overview

Improve the employee experience

Technology alone doesn't create engagement. Employees need easy access to information, learning, communication and support to perform at their best. The usual position is an intranet nobody visits, announcements sent by email that a third of staff never open, and knowledge held by people rather than in anything searchable. For organisations with site-based, mobile or shift-working staff, the reach problem is worse: the tools were designed for people at a desk. Valto fixes the reach first and the content second. Our specialists establish who is actually being reached today, design communications and learning around how your people work, and deliver it inside the tools they already have on their phone or laptop. We then measure whether it landed, because engagement work without measurement is guesswork.

What can Valto deliver?

Our specialists assess who you are currently reaching, what your people need to find, and what you are already licensed for, before recommending an approach.

Internal communications

Design and deliver company news, leadership updates and announcements through channels your people actually use, with visibility of what was read rather than what was sent.

Reaching frontline and mobile staff

Deliver communications, resources and processes to site-based, shift-working and mobile employees on their phones, so the people furthest from head office stop being the last to know.

Intranet replacement

Replace an ageing or unused intranet with a personalised employee destination inside Microsoft 365, without maintaining a separate platform.

Onboarding and employee journeys

Give new starters a structured first few weeks: what to read, who to meet, what to complete, delivered in sequence rather than as a folder of links.

Learning in the flow of work

Bring your training content, whether Microsoft, third-party or your own, into the tools people already work in, so learning does not require a separate login and a spare afternoon.

Microsoft 365 adoption

Use employee experience tooling to drive adoption of the wider Microsoft 365 investment, so features you already pay for reach the people who would benefit.

Our Microsoft Viva services

Build a roadmap for employee experience

We help organisations understand where Viva can create the greatest impact and define a strategy aligned to business objectives and employee needs. That starts with reach and ownership: who you need to communicate with, who is currently missed, and who inside the organisation will own this once it exists. Employee experience without an owner reverts to email within a quarter.

What we build with Viva

Communications that reach everyone

A personalised employee destination in Teams and on mobile, with company news, leadership updates and campaign planning. (Viva Connections, Viva Amplify)

Communities and conversation

Spaces for recognition, discussion and leadership visibility across a distributed workforce. (Viva Engage)

Learning people actually complete

Training brought into the flow of work rather than a separate portal. (Viva Learning)

Insight into how work happens

Aggregated, privacy-respecting visibility of meeting load, focus time and collaboration patterns, for leaders and individuals. (Viva Insights)

Turn Viva capability into business value

Viva sits on licences most organisations already hold. The value comes from reach, ownership and measurement. Our specialists target the work where it changes something you can observe.

Site-based, shift-working and mobile employees receive the same information as head office, on the device they already carry.
Consolidating into Microsoft 365 removes a platform, a contract and a set of admin overheads, and puts content where people already are.
Policies, resources and knowledge become findable in the tools people work in, rather than requiring them to know who to ask.
A structured onboarding journey means less time waiting to be told things and fewer questions that have already been answered somewhere.
Training in the flow of work gets completed more often than training that requires a separate login and a spare afternoon.
Employee experience tooling drives adoption of the wider Microsoft 365 investment, which is usually a better return than new spending.

Common employee experience challenges

Expertise for the reasons internal communication doesn't land

Many organisations struggle with fragmented communication, difficulty sharing knowledge and low engagement across distributed teams. Employees often waste time searching for information, miss important updates or lack visibility into learning and development opportunities. We address these during design rather than after launch. We help organisations address:

  • Site-based and shift-working staff who never see head office communications
  • An intranet nobody visits, maintained by someone who has other priorities
  • Announcements sent by email with no visibility of who read them
  • Knowledge held by long-serving individuals and nowhere else
  • Content published once and never reviewed, so nothing looks current

Connected, across Microsoft

Employee experience depends on what sits behind it

Viva surfaces content, not creates it. A polished employee destination pointing at an unmaintained SharePoint site, or a learning experience with no content behind it, makes the underlying gap more visible rather than less. Valto brings together expertise across Microsoft Teams, SharePoint, Microsoft 365, Copilot, learning platforms and business systems. That lets our specialists sort out the content, structure and ownership underneath as well as the experience on top, and to say when the useful work is editorial rather than technical. By bringing communications, learning and knowledge together in one place, Viva helps employees access the information and support they need to succeed.

Questions, answered plainly

Practical answers on what Viva costs, whether you already own it, how to reach staff without a desk, and whether it replaces your intranet.

Probably some of it. Several Viva capabilities are included in common Microsoft 365 plans, while others need additional licensing, and Microsoft has changed the packaging more than once. We confirm exactly what your existing licences cover before recommending anything, and in a good number of cases the useful work is turning on and structuring what you already own.
Yes, and it is one of the strongest reasons to use it. Viva Connections works on mobile, which means site-based, shift-working and field staff can receive company news, find policies and complete processes on their phone. For organisations in construction, manufacturing or healthcare, this is usually the group current communications miss entirely.
Often, yes, and that is frequently the business case. A personalised employee destination inside Microsoft 365 removes a separate platform, contract and administration overhead. Whether it fully replaces yours depends on what your current intranet does beyond publishing content, which we assess before recommending it.
Yes. Viva is designed to sit inside Teams rather than beside it, which is the point: employees get communications, learning and resources where they already work rather than in another destination they need to remember to visit.
By agreeing what to measure before launch. Readership, participation, completion rates and reach by group are all visible, and reach by group is the important one. It usually shows that the people you most needed to reach are the ones you were not.
Viva Engage is the community and conversation capability within Viva, used for organisation-wide discussion, recognition and leadership visibility. It is the successor to Yammer and sits inside Teams.
Mostly for the parts that are not technical. Deploying Viva is straightforward; deciding what belongs in it, who owns the content, how you reach the staff you currently miss, and how you measure whether it worked are the parts that determine whether it lasts. A partner who has done this before is useful largely for not repeating the common mistakes.
Microsoft Viva is Microsoft's employee experience platform, bringing internal communications, learning, knowledge and workplace insights into Microsoft 365 and Teams. It is a suite of capabilities rather than a single product, so organisations typically deploy the parts relevant to them.
