Modern Workplace

SharePoint

Most organisations are paying a third party for something they already own. Valto designs and delivers SharePoint: modern intranets, document management people can actually search, and the governed content structures Microsoft 365 Copilot needs in order to be useful. Our Modern Workplace specialists handle information architecture, migration from file shares and third-party platforms, and the adoption work that decides whether any of it gets used.

Overview

Turn information into organisational knowledge

Many organisations struggle with information spread across file shares, emails, personal drives and disconnected systems. As content grows, employees spend more time searching and less time acting. The other half of the problem is duplication. An intranet from one supplier, documents in a second platform, files in Teams, attachments in inboxes, and a search box in each that only sees its own corner. Nobody trusts any of them, so people ask a colleague instead. Valto builds the structure underneath all of it. Our specialists establish what content you actually have and who should see it, design an information architecture that survives the next reorganisation, migrate what is worth keeping, and train people to work in it. Where a third-party platform is duplicating what SharePoint already does, we will say so.

What can Valto deliver?

Our specialists assess what content you hold, how people currently find it, what you are already licensed for and what you are paying others for, before recommending an approach.

Information architecture and governance

Design the site structure, permissions model, metadata, retention and lifecycle rules that decide whether SharePoint stays usable at year three. This is the work that determines whether search returns the right document and whether Copilot can be trusted.

Modern intranets

Build a communications and resource hub inside Microsoft 365, on the platform your organisation already licenses, replacing a separate intranet contract, supplier and administration overhead where one exists.

Document management

Structure how business-critical documents are stored, versioned, approved and retained, including ISO-aligned and regulated document control where you need it.

Migration

Move content from file shares, Box, Dropbox, Google Drive, legacy SharePoint or a third-party intranet, with an agreed position on what carries over, what is archived and what is finally deleted.

Copilot-ready content

Audit and remediate permissions, oversharing, duplication and stale content so that Microsoft 365 Copilot surfaces the right information rather than everything it can technically reach.

Adoption and training

Structured training and change support for the people whose habits have to change, delivered around your own sites, documents and processes rather than as a generic product walkthrough.

Our SharePoint services

Build the right foundation

We help organisations assess their current environment, define information architecture and create a roadmap for long-term success. That includes deciding what belongs where. Teams, SharePoint, OneDrive, Viva and email each do something different, and organisations that never draw those lines end up holding the same document in four of them and trusting none.

Organisations are ditching third-party intranets for Microsoft

In this webinar, Dan Jones, a Microsoft 365 Consultant at Valto, explains why organisations are increasingly moving their intranets back to Microsoft SharePoint. The session explores how rising third‑party costs (on platforms such as Unily), Teams‑first working, Copilot readiness, security, governance, and platform sprawl are driving a market‑wide shift back to Microsoft‑native intranets.

COMMON SHAREPOINT CHALLENGES WE SOLVE

Expertise for the issues that stop SharePoint delivering

Many organisations already have SharePoint, or a competitor platform alongside it, but struggle to realise its full value. Common challenges include:

  • Search that returns everything except the document you wanted
  • Low user adoption, with people still working from email attachments and personal drives
  • Unstructured content, with no metadata, naming standards or retention rules
  • Site and intranet sprawl, including sites created for projects that ended years ago
  • Governance concerns, particularly around who can create sites and share externally

What can you do with SharePoint?

Common engagements Valto deliver for our clients.

Modern intranets

Create a central location for company news, resources and internal communications, on a platform you already license.

Document management

Store, organise and govern business-critical information securely, with versioning and retention that hold up to audit.

Knowledge Management

Help employees find information, expertise and resources without asking a colleague to resend it.

Employee onboarding

Give new starters structured access to the information, resources and processes they need in week one.

Business process integration

Connect SharePoint with Power Platform and Microsoft 365 services so approvals and requests run against the content rather than beside it.

Copilot foundations

Create well-governed content structures and permissions so AI-powered search retrieves the right information rather than everything it can reach.

Turn SharePoint capability into business value

SharePoint is already on your licence. The value comes from the structure you put underneath it and the habits you build on top. Our specialists target the work that changes something measurable.

A designed information architecture, consistent metadata and configured search mean people find the current version rather than the one somebody emailed them in March.
Where a third-party intranet or file-sharing platform duplicates what SharePoint already provides, consolidating removes a licence, a supplier and an administration overhead. Branding Science saved £20,000 a year doing exactly this.
Copilot surfaces what your permissions and content structures allow. Remediating oversharing, duplication and stale content is what turns it from a risk into a useful tool.
Versioning, approval, retention and audit history mean the document that governs a decision can be produced later, in the state it was in at the time.
Deciding what belongs in Teams, SharePoint, OneDrive and email removes the duplication that makes people distrust all of them.
Most organisations are licensed for considerably more SharePoint capability than they use. Structuring and adopting what you own frequently delivers more than new spending would.

Connected, across Microsoft

Everything else in Microsoft 365 is standing on SharePoint

Teams files are stored in SharePoint. Viva Connections is built on it. OneDrive is a version of it. Microsoft 365 Copilot reads it. That makes SharePoint the layer that decides how well the rest of your Microsoft 365 investment works, which is why it is usually the first thing worth getting right and the last thing anyone plans. Valto brings together expertise across Microsoft 365, Teams, Viva, OneDrive, Power Platform, Dynamics 365, security and Microsoft 365 Copilot. That lets our specialists draw the boundaries between them deliberately, connect SharePoint to the business processes around it, and recognise when the answer is a change to how people work rather than another platform. The result is a single source of truth for information, fewer places to look, and a foundation the rest of your Microsoft estate can build on.

How we deliver SharePoint projects

Our five-step process is clear and transparent from start to finish. From understanding what content you hold and how people look for it, through to structuring, migrating and embedding ways of working people stick with.

Questions, answered plainly

Practical answers on where SharePoint fits alongside Teams, whether it can replace a third-party intranet, what a migration involves, and what needs to be true before Microsoft 365 Copilot is useful.

You already have it, whether you meant to or not. Every file shared in a Teams channel is stored in a SharePoint site behind the scenes. The real question is whether that structure was designed or whether it accumulated, and for most organisations it accumulated. Deciding what belongs in a Teams channel, a SharePoint site and OneDrive is usually the first piece of work worth doing.
Often, yes, and cost is usually what starts the conversation. A separate intranet platform means a separate licence, contract, supplier and set of administrators, for capability that overlaps heavily with what your Microsoft 365 licences already cover. Whether it fully replaces yours depends on what your current platform does beyond publishing content, which we assess before recommending anything. We have also told clients to keep what they have.
Yes, and it is one of the more common reasons organisations come to us. We assess what exists, agree what moves, what is archived and what is finally deleted, design the destination structure, then migrate in controlled waves with a pilot group first. The decision that saves the most money and pain is agreeing what not to bring.
Yes, and it is normal. We review site sprawl, permissions and oversharing, duplicate and stale content, search configuration and orphaned sites, then give you a prioritised plan. It is more work than governing it properly at the start, but it is very fixable, and it is usually cheaper than the alternative of people quietly working around it.
We start by assessing what content you hold, how people look for it and what you are already licensed for. From there we agree the information architecture and governance, build the intranet or document environment, migrate what is worth keeping, train the people whose habits change, then support the environment as your organisation changes.
In almost every case, yes. Copilot surfaces whatever your permissions and content structures let it surface, so oversharing, duplication and stale content turn a useful tool into an unreliable one and occasionally into a security problem. Remediating that is the single most common piece of preparation work we do before a Copilot rollout.
The platform is enterprise-grade, with encryption, compliance certifications, data loss prevention and Microsoft Purview integration available. The risk is almost never the platform: it is permissions granted individually over several years, sharing links nobody reviewed, and external access that was set up once for a project. We audit and remediate that as part of any engagement.
It depends on scope, content volume and how much needs migrating. A focused intranet or document management project typically runs over a few months; a large migration off multiple platforms takes longer. We scope in phases so something useful goes live early rather than everything landing at the end.
Mostly for the parts that are not technical. Standing up SharePoint takes very little time; deciding what belongs where, who owns which content, how permissions are structured and how you keep it that way in three years are the decisions that determine whether it works. A partner is useful largely for having made those decisions before and knowing which ones are expensive to reverse.
Microsoft SharePoint is Microsoft's platform for content management, document collaboration and intranets, included in most Microsoft 365 business plans. It stores and structures information, controls who can access it, and underpins Microsoft Teams, OneDrive and Microsoft 365 Copilot.
