AI & Automation

AI Chatbot Development

Chatbots your customers actually use, designed by specialists who obsess over what happens when the bot doesn't know the answer. Valto designs, builds and supports AI chatbots that handle customer questions, qualify enquiries and reduce pressure on your support team. Our specialists handle the conversational design, the grounding in information you approve, the escalation path to a person, and the measurement that proves whether it's working - deployed to your website, your app or wherever your customers already are.

Overview

Make knowledge easier to access

Many organisations spend valuable time answering repetitive questions, searching for information and managing routine requests. AI chatbots can help reduce that burden by providing instant access to knowledge, guiding users through processes and automating common interactions. Valto builds the assistants that handle the repeatable ones. Our specialists work out which questions are worth automating, ground the chatbot in sources you've approved, design what it says when it isn't confident, and set up the handover so nobody gets stuck in a loop. We measure success on questions resolved and enquiries deflected, not on the chatbot being live. The result is an assistant your customers and teams return to because it answers reliably and knows its limits.

What can Valto build?

Our consultants assess the questions being asked, the sources that answer them and the people who'll rely on it before recommending an approach. Every chatbot is scoped around a defined purpose rather than a feature list.

Customer service chatbots

Answer common customer questions on your website or app, around the clock, with clean escalation to your team when the question needs a person.

Public enquiry handling

Handle the volume of general enquiries that arrive through your website, service questions, eligibility, process explanations, before they become emails someone has to triage.

Self-service and status enquiries

Let customers check status, retrieve information and complete routine requests themselves, connected to the systems that hold the answer.

Enquiry qualification and routing

Gather the right detail from a new enquiry, answer what can be answered, and route the rest to the correct team with context attached rather than as a bare contact form.

Multilingual customer support

Serve customers in the languages they use, without recruiting for each one, with the same grounding and escalation behaviour throughout.

Member and applicant assistants

Help members, applicants or service users find information and complete processes without contacting your team, for membership bodies, education providers and public-facing services.

Our AI Chatbot development services

Identify the right opportunities

We help organisations identify where conversational AI can create the greatest impact, focusing on practical use cases that improve experiences and reduce manual effort. We start from the questions actually being asked, your support tickets, enquiry inbox and website search terms, rather than from what the technology could do.

Why work with our chatbot specialists?

Conversational design as a discipline

We design what the chatbot says, in what order, and in your organisation's voice. The difference between a chatbot people use and one they abandon is almost always the conversation, not the technology.

We design the failure cases first

What it says when it isn't confident, when it's asked something out of scope, and when a person is needed. Every bad chatbot experience your customers have had came from this being skipped.

Grounded in sources you approve

Answers come from information you've signed off, not from a general model guessing. That matters more when the audience is customers than when it's staff.

Escalation designed, not bolted on

When the chatbot can't help, the handover carries the context so your team doesn't start from scratch and the customer doesn't repeat themselves.

Measured on resolution, not deployment

We agree what success looks like, questions resolved, enquiries deflected, response times, before build, and report against it afterwards.

Built to your brand, in your voice

A customer-facing chatbot speaks as your organisation. We design tone deliberately rather than accepting a default assistant personality.

Meet people where they already are

A chatbot only gets used if it's where the question occurs. We deploy across the channels your customers are already in, and we'll advise on which ones are worth it.

  • Your customer portal: Assistance built into a Power Pages portal or member area, alongside the information and records it draws on.
  • Your application: Help embedded at the point where someone is doing the task, rather than in a separate window.
  • Microsoft Teams: For internal assistants, or for your support team to query the same knowledge base your customers can.

COMMON CHATBOT CHALLENGES WE SOLVE

Expertise for the reasons chatbots get abandoned

Customers often spend more time trying to get an answer than the answer takes to give. But most chatbot projects don't fail because the information isn't there — they fail because the assistant was scoped too widely, answered confidently when it shouldn't have, or had no sensible route to a human. Our consultants address these during design rather than after launch. We help organisations address:

  • Knowledge spread across documents, systems and individuals with no single source
  • Chatbots scoped so broadly that answers can't be relied on
  • Confident wrong answers, which cost more trust than saying "I don't know"
  • No escalation path, leaving customers stuck in a loop
  • Source content that's out of date, contradictory or duplicated

Industries we commonly support

Whatever your sector, the questions customers waste time on tend to be the same - where something is, what's covered, how a process works. What changes is the source material and the compliance requirements around it, and that's what we design for.

Connected, across Microsoft

A chatbot is only as good as the knowledge behind it

A chatbot doesn't create knowledge. It surfaces what you already have, which means duplicated documents, outdated policies and inconsistent permissions all show up in its answers, stated to your customers with complete confidence. Valto brings together expertise across Microsoft 365, SharePoint, Dataverse, Power Platform, Dynamics 365, Business Central, Microsoft Fabric, Copilot Studio and Azure. That allows our specialists to fix what the chatbot depends on as well as building the chatbot, and to say when the useful work is tidying your knowledge sources rather than adding an assistant on top of them. Getting the sources right is what separates a chatbot customers trust from one they stop using.

Questions, answered plainly

Practical answers on what a chatbot project involves, what your chatbot can and can't access, how it escalates to your team, and how you'll know it's working.

We start by identifying which questions are worth automating, usually from your support tickets and enquiry patterns. From there we design the conversation flows and tone, ground the chatbot in approved sources, build and test it against real questions, deploy it to the right channel, then refine it based on what customers actually ask.
A focused assistant on well-organised source content can be live in a matter of weeks. The variable is rarely the build - it's the state of the knowledge it needs to draw on, which is why we assess that first.
This is the most important design decision in the project, and we make it deliberately. A good chatbot says it isn't sure, offers what it does know, and hands over to a person with the conversation history attached. A chatbot that guesses confidently costs more trust than one that admits its limits, and with customers, that trust is harder to win back.
Only what you approve. We ground it in specific sources — SharePoint sites, document libraries, Dataverse, business systems, and it respects the permissions already in place. We're explicit during design about which sources are in scope, and which aren't.
Yes, and it's one of the most common requirements. We connect it to the sources you nominate so customers can ask natural language questions rather than hunting through your website. Where content is out of date or contradictory, we'll flag it, the chatbot will surface those problems otherwise.
The security question is really a permissions and scope question. A chatbot can only surface what its access allows, and for anything customer-facing we're deliberately restrictive about what it can reach. We review sources and permissions before pointing a chatbot at them.
Your website, a customer portal, inside your application, or Microsoft Teams for internal use. The channel affects the design, a public chatbot needs tighter guardrails than an internal one, so we agree it early rather than treating it as a deployment detail.
Chatbots need an owner and a review cadence, source content changes and questions shift. Some organisations take that on with knowledge transfer from us; others prefer we retain it. Either way it's defined rather than assumed.
An AI chatbot is a conversational assistant that answers questions and completes tasks using natural language. Unlike older scripted bots that followed fixed decision trees, modern chatbots understand intent and can be grounded in your own business information, so answers reflect your organisation rather than general knowledge.
