The primary challenge Grosvenor faced was the need to migrate significant volumes of data from legacy data centres and third-party hosting providers to SharePoint Online.
This was driven by a time-sensitive requirement to vacate their existing data centre. Alongside this, the organisation needed to build new Microsoft Teams and SharePoint infrastructure to support future collaboration and streamline how departments shared and accessed data.
Ensuring the migrations were completed ahead of the shutdown date without disrupting day-to-day business operations was critical.
Grosvenor is a global organisation whose work spans urban property development, food and agtech investment, rural estate management, and philanthropic initiatives. Representing the Grosvenor family, the business is values-led and committed to delivering lasting commercial, social, and environmental impact across generations. .
Valto worked closely with Grosvenor to design and deliver a structured, phased migration approach. The project began with a series of workshops to perform a gap analysis and assess the data needs of each department. This helped shape the architecture of the new SharePoint environment and ensured every team’s requirements were considered from the outset.
SharePoint infrastructure was configured to align with each department’s structure, and migrations were scheduled in batches to manage the volume of data and stay within Microsoft’s daily migration limits. Microsoft Teams sites were created where required to support more effective collaboration. Pre- and post-migration training sessions were held to ensure a smooth transition, with a large training event delivered at the final stage of the project to bring all staff up to speed with the new systems and working practices.
The project delivered immediate value through the elimination of data centre hosting fees and a reduced IT footprint. With all files and collaboration tools now unified under Microsoft 365, approximately 2,000 employees across Grosvenor are working more consistently, securely, and collaboratively. Departments that had not previously used SharePoint were able to modernise their working practices and benefit from enhanced data accessibility and control.
The success of the migration also laid the foundation for further digital transformation within the business. Looking ahead, Grosvenor plans to make use of Microsoft 365’s compliance and governance capabilities, including the advanced security features available through their E5 licensing. These tools will help strengthen their approach to data governance and ensure they are well-positioned for future operational growth.
