Serving approximately 750,000 people, MFT provides everything from general hospital care to highly specialised regional and national services.
As a major provider of care in the North West of England, MFT plays a leading role in services such as breast care, cardiac treatment, cancer care, paediatrics, women’s health, and genomic medicine.
As the organisation expanded and evolved, MFT identified the need to bring its Microsoft 365 environments under a single, unified tenant.
This change was critical for improving collaboration across its many departments and hospital sites, as well as ensuring better data management and governance.
The migration involved moving data from an existing NHS tenant to a dedicated MFT tenant. Given the organisation’s size and complexity, this was no small task.
The project needed to account for thousands of users, millions of files, and specialised setups such as Citrix environments and on-premise storage systems.
The priority was to carry out the migration with minimal disruption to ongoing healthcare operations.
Valto was appointed to manage the full tenant-to-tenant migration.
We began with a detailed planning phase, including workshops to map out users, allocate licences, and assess the existing environment.
A communication strategy was also put in place to keep staff informed throughout the process and ensure a smooth transition.
The migration was executed in carefully managed stages, including pre-cutover preparation and final cutover activities.
This phased approach helped to avoid disruptions and allowed clinical and support staff to continue their work without interruption.
We also addressed specific technical complexities, such as maintaining functionality for Citrix-based users and ensuring OneDrive sync and folder redirection worked seamlessly post-migration.
Throughout the project, Microsoft 365 migration tools and technologies were used to ensure the secure transfer of data, including Teams channels, OneDrive files, and associated configurations.
The migration was successfully completed, involving the transfer of approximately 3,800 user accounts and more than 11 million individual files. Around 840 Microsoft Teams sites were also migrated, ensuring continuity in collaboration across departments and hospital sites. The new unified Microsoft 365 tenant has already delivered noticeable benefits. MFT has enhanced its ability to collaborate with external healthcare bodies and local authorities, improved data governance, and strengthened its security posture. The consolidation has also reduced IT administration overhead and paved the way for more efficient digital operations. With this migration complete, MFT is better positioned to support its digital transformation goals. The trust now benefits from a streamlined, centralised platform that can scale to support its growing network of hospitals and services while maintaining the high standards of care and security expected within the NHS.
