Policy Management Perfected: BDHT’s Modern Document Environment in SharePoint and Teams

Bromsgrove District Housing Trust (BDHT) are the largest provider of affordable housing in Bromsgrove and the surrounding area. They are committed to maintaining the very best service for their communities. As a not-for-profit organisation, everything they do is about best serving their residents. They are committed to constantly adapting and improving their services to meet the needs of their tenants. BDHT are proud of their reputation as an excellent employer, with over 130 staff working together to provide fantastic housing services in the heart of Bromsgrove. Project overview BDHT partnered with Valto to modernise their document management processes and support their transition to Microsoft 365. The project aimed to create a controlled, efficient, and collaborative environment for managing documents across the organisation.

The challenge

BDHT was operating on an on‑premise file server, alongside various SharePoint sites, with a mix of linked Excel files and legacy documents. Managing these files was complex, with broken links causing errors and inefficiencies. The Trust needed a solution that would:

  • Simplify document management
  • Reduce errors caused by broken Excel links
  • Enable collaboration via Microsoft Teams and SharePoint

The Trust needed a solution that would improve document management, reduce errors, and enable seamless collaboration.

The solution

Valto worked closely with BDHT to deliver a multi‑stage migration and modernisation project:

  1. SharePoint Modernisation
    Valto built a modern controlled document environment within SharePoint. This included structured libraries, version control, and access management to streamline document handling and compliance.
  2. File Server → Teams Migration
    The project also involved migrating BDHT’s on‑premise file server into Microsoft Teams as part of Microsoft 365. This transition enabled secure collaboration, reduced reliance on local storage, and ensured files were easily accessible across the organisation.
  3. Excel Link Remediation
    A major part of the migration was identifying, fixing, and preventing broken Excel links. This complex exercise ensured continuity for BDHT’s workflows and addressed a common pain point in document migrations.

The results

The project delivered a streamlined, modern document environment across SharePoint and Teams. BDHT were impressed with the smooth migration and the resolution of Excel link issues. The success of this work also led to additional projects being awarded to Valto.
