The client

DMS Group is a family-run technology services provider based in Egerton, Bolton, with over 20 years of experience delivering smart IT solutions across the UK. The company supports both education and commercial sectors with services ranging from interactive display technology and managed print services to complete digital workplace transformations.

The challenge

Before working with Valto, DMS Group relied on a combination of spreadsheets, legacy systems, and Salesforce to manage customer data and sales activity.

These methods created inefficiencies across the sales process, as there was no single source of truth for tracking leads, opportunities, or customer information.

The team faced difficulties in securing and restricting access to sensitive data by business unit, which raised concerns around data visibility and integrity.

Manual processes also made it harder to manage records accurately and slowed down sales operations.

With a fast-approaching Salesforce licence expiry, DMS Group needed a timely and reliable replacement that would allow for a smooth transition without disrupting ongoing business.

The solution

Valto worked closely with DMS Group to build a new CRM application using a model-driven Power Apps solution within the Microsoft Power Platform. The solution was designed to handle the full sales lifecycle, from lead capture and opportunity tracking to quote generation and project handover.

The project began with a detailed discovery phase to understand DMS Group’s business structure, including its multiple offices and business units (e.g., Bolton and York), each of which needed custom access controls.

We developed a user-friendly CRM system that not only managed leads, contacts, and accounts, but also supported document handling, role-based permissions, and data migration from Salesforce and Excel.

Hundreds of records were migrated, with data cleaned and correctly structured to support future reporting and analytics.

Admin users were given tools to reassign leads and control user permissions directly from the interface.

We also laid the groundwork for integration with Vantage, DMS Group’s internal system for quotes, service tickets, and sales orders.

The results

The new CRM system was delivered on time and in full before the Salesforce licence expiry, ensuring uninterrupted sales operations.

DMS Group now benefits from a centralised, secure system that supports efficient lead tracking, user access by business unit, and improved data visibility.

Sales teams have a simplified, reliable process for managing opportunities, while admin users can manage access and workflows with ease.

The improved data structure also lays the foundation for advanced reporting with Power BI.

Looking ahead, DMS Group plans to continue enhancing the system, exploring automation for user role management, deeper integration with Vantage, and new modules for project scheduling, document automation, and performance reporting.

With this foundation in place, the business is better equipped to scale, respond to customer needs, and manage sales from first contact through to delivery.
