Sustainability has always been at the core of what they do and the foundation of their business model and operations, with 95% of Rincon sales involving the re-use of core network hardware.

The challenge

Rincon was in the process of achieving ISO 27001:2022 certification at the time of researching solutions.

This certification requires Rincon to demonstrate a robust information security management system, including the meticulous organisation and management of their documents.

To facilitate this, Rincon needed a streamlined, centralised solution that would simplify their document management and ensure compliance with ISO 27001:2022 standards.

Rincon faced the daunting task of organising hundreds of documents, each requiring precise categorisation, version control, and accessibility. Without an effective system in place, the manual process of managing these documents would have consumed significant resources and time.

The solution

Following a web search on ISO management solutions, Rincon Technology identified Valto’s Controlled Document System within SharePoint as a potential fit for their needs.

After two detailed demo calls, during which we addressed all their questions and ensured the product met their requirements, Rincon decided to proceed with our solution.

We developed a customised SharePoint Controlled Documents System tailored specifically to Rincon’s needs.

Functionalities of this included a centralised, organised document system within SharePoint, a document review and approval system, integration with Microsoft Teams, a version control system, and role-based access controls to secure sensitive information.

By tailoring the SharePoint Controlled Documents System to Rincon’s specific requirements, we provided them with an efficient solution that met all their ISO 27001:2022 documentation needs. Rincon has other certifications that require similar document management features and they fully intend to leverage the Valto solution for those purposes.

The results

One of the most notable benefits of the Controlled Documents system was evident during Rincon's recent audit for ISO 27001:2022 certification, which they successfully achieved with the support of Valto’s SharePoint solution. Thanks to the centralised and organised document system, the audit process was substantially less stressful and more efficient with huge time savings. Rincon had all the necessary documentation readily available in one place, enabling them to quickly provide auditors with the required information. Valto’s Controlled Documents system saved Rincon countless hours of manual work and resource allocation. Previously, organising and managing hundreds of documents manually would have been an immense task, consuming valuable time and effort. The integration with Microsoft Teams has also proved to be highly beneficial, ensuring that all stakeholders are kept informed in real time about any changes or approval updates to documents. The role-based access controls we implemented provided an additional layer of security, ensuring that only authorised personnel could view or edit sensitive documents. This also means that if an employee was to leave their organisation they would no longer be able to access any of Rincon’s documentation. Additionally, since Rincon was already paying for SharePoint licenses within the Microsoft Office suite. This meant that this solution allowed them to maximise their existing investments without incurring any additional costs.
